Datacap Partnership Helps Fuel 50 Percent Annual Revenue Growth

Torrential Data Solutions is a Datacap channel partner based in Virginia Beach, Virginia. Founded in 1989. Torrential integrates its proprietary DataHaven™ document management toolkit with customers’ existing applications and hardware to create tailored solutions that help “transform the torrent of business data into business knowledge.” The DataHaven Enterprise Solution suite spans imaging, workflow and information management for structured and unstructured data.

Focusing on high-volume, paper-intensive businesses, Torrential Data, streamlines and automates processes in accounting and human resources for industries ranging from manufacturing, transportation and logistics to education, health care and government.

Brad Bimson, president of Torrential Data, says leveraging Datacap’s advanced capabilities is enabling his company to enrich its offerings, contributing to revenue growth of at least 50 percent a year.

The Challenge

Upon buying Torrential Data in 2005, Bimson found that many customers required significant time, labor and money investments to process mounting volumes of paper. To address the issue, Torrential Data contacted several data capture software suppliers whose technology might enable it to further improve customers’ productivity and return on investment.

Solution

Torrential Data selected Datacap as its vendor of choice in 2006. Primary factors were Datacap’s flexible, leading-edge solutions, compatible with those of Torrential Data and its customers, and – unique among prospective suppliers – a concurrent-user (versus volume-based) pricing model.

“Datacap technology helps us round out and strengthen our offerings,” Bimson says. “Integrating Datacap’s Taskmaster software allows us to introduce automation much earlier in the process and provide more robust OCR (optical character recognition), resulting in greater customer efficiencies and savings. Datacap’s zonal OCR capability, which recognizes particular pieces of data and associated line items, is especially useful.”

In 2007, Torrential Data added Taskmaster for Invoices to upgrade an accounting application for longtime customer Exel Transportation Services. Exel processes as many as 6,000 pages of invoices plus 7,000 pages of backup documents a day for Exel’s contract logistics and freight management business. The combined solution pleased Exel and earned Torrential Data a 2007 Partner Excellence Award from Datacap. 

“The Datacap team is great to work with,” Bimson says. “Like us, they look at all the ways technology can improve business processes. They’re very customer-focused, as well as responsive to us as a reseller, providing support during the sales process and during and after implementation.”

Result

The addition of Taskmaster to the Exel division’s accounting solution has enabled it to cut document cycle time in half, to five days, and reduce administrative headcount substantially. The upgrade paid for itself in the first year, and Exel projects a 218 percent return on investment within five years. Now, Torrential Data is exploring ways to extend the Torrential Data/Datacap advantage to other Exel divisions and to DHL, a sister company of Exel under the umbrella of Deutsche Post World Net, the world’s largest logistics company. 

Working with Datacap is bringing Torrential Data opportunities the reseller wouldn’t have generated on its own. Datacap recently tapped Torrential Data to upgrade and add distributed data verification to a centralized Datacap application the Virginia Department of Taxation (VATAX) has used since 2001 to process state tax returns. By migrating VATAX to Taskmaster Web, Torrential Data will help the state agency comply with the Virginia governor’s program to create jobs in economically distressed areas of the state. The enhancement will extend the solution to include at-home workers and employees at a new processing facility outside the main VATAX data center in Richmond. The VATAX project also has introduced Torrential Data to another potential customer: a company that processes W-2 forms for the Virginia agency.

“With Datacap’s help, we are expanding relationships with existing customers and acquiring new customers rapidly,” Bimson says. “We expect revenue growth to accelerate as we build our partnership with Datacap and increase our use of Datacap technology.”
